These Terms and Conditions are the current version and replace any previously issued terms.

1. About Us

Bop Stars is a childcare and children’s activities provider offering holiday clubs, classes, parties and events. Our sessions are centred around performing arts, creative activities, movement and play, with elements of sport and wellbeing.

Bookings can be made via our website, or directly with us by phone, email or in person. All bookings constitute a legal contract and are subject to these Terms and Conditions, together with any additional policies referenced at the time of booking, including our Cancellation Policy and Privacy Policy.

2. Admissions & Inclusion

Bop Stars welcomes all children and operates a non-discriminatory admissions policy. We do not discriminate on the grounds of gender, disability, learning needs, background, religion, ethnicity or language.

Admission is subject to our ability to safely and reasonably meet a child’s individual needs and the suitability of the venue and staffing available.

3. Bookings & Payment

All bookings must be made in advance.

Full payment is required at the time of booking.

Bookings can be made online at www.bopstars.co.uk or by telephone on 07596 851 374.

Prices are reviewed annually and may be adjusted in line with the Consumer Price Index or operational costs.

Methods of Payment

We accept payment by debit or credit card via our website (including PayPal and Apple Pay). Bank transfer may be accepted by prior arrangement.

Booking Confirmation

All confirmed bookings will be acknowledged by email.

4. Arrival Without an Advance Booking

If a customer arrives without an advance booking for a Holiday Club, access will only be granted if:

  • Full payment can be made immediately, and

  • All required registration information and paperwork is completed before the child enters the session, and

  • Sufficient staffing is available to meet required staff-to-child ratios.

5. Changes, Cancellations & Credits

Changes to Bookings

Changes are subject to availability and our Cancellation Policy, available on our website and at the time of booking.

Cancellation by the Customer

  • Cancellations made with more than 14 days’ notice before the activity start date will be eligible for a full credit note, valid for 12 months from the date of issue.

  • Cancellations made with less than 14 days’ notice are not eligible for a refund.

  • In exceptional or extenuating circumstances, Bop Stars may, at its discretion, offer a deferral or credit note against a future booking.

  • Cash refunds are not offered for any bookings.

  • Credit notes may be used against any future Bop Stars camp, class, party or event, subject to availability.

  • Individual missed sessions within a block booking are non-refundable and non-transferable.

  • Unattended sessions remain chargeable unless the required notice period has been met.

Cancellation by Bop Stars

Forced Closures

If Bop Stars is unable to operate due to circumstances beyond its reasonable control, including but not limited to extreme weather, utility failure, venue closure, industrial action or instructions from a relevant authority, customers will be offered a credit note for a future equivalent session.

Schedule Changes

We reserve the right to amend programmes, schedules, dates, times or venues where necessary. Where a change materially affects a booking and the customer is unable to attend, a credit note will be offered.

6. Personal Property

Children should not bring valuable items to sessions. Bop Stars does not accept responsibility for loss or damage to personal belongings.

Scooters and similar items cannot be stored on site. All personal items should be clearly labelled with the child’s name.

7. Mobile Phones & Electronic Devices

Children are discouraged from bringing mobile phones or electronic devices. If a device is brought, it may be held securely by the site manager for the duration of the session. Bop Stars accepts no liability for loss or damage.

Site phones or tablets are available for operational and emergency use. Parents or guardians should contact Bop Stars directly if they need to reach their child during a session.

8. Food & Drink

Bop Stars does not provide food. Children must bring their own snacks and packed lunches where applicable.

Drinking water is available at all venues, and children should bring a labelled reusable water bottle.

We operate a strict no-nut policy, which must be adhered to at all times.

9. Behaviour & Conduct

Bop Stars is committed to providing a safe, positive and respectful environment for all children and staff.

We operate clear behaviour management procedures that promote positive behaviour, safety and inclusion. Bullying, discrimination, aggressive behaviour or persistent disruption by children or adults will not be tolerated.

We work in partnership with parents and carers to manage behaviour constructively. In rare and serious cases, we reserve the right to require a child to be collected or to terminate a booking.

Where a parent or guardian behaves in an unacceptable manner, Bop Stars reserves the right to terminate current and future bookings without refund. Any costs associated with early collection will be the responsibility of the parent or guardian.

10. Signing In, Collection & Security

Children must be signed in and out by a parent, guardian or authorised collector.

Children will only be released to individuals listed on the registration form. A collection password system may be in place. Failure to provide the correct password or identification will result in the child not being released.

These procedures follow Bop Stars’ safeguarding and security policies.

11. Late Collection

Children must be collected promptly at the end of their booked session.

Late collection fees apply at £10 per child per 30-minute period, or part thereof. Repeated late collection may result in charges being applied immediately.

Parents and guardians must notify Bop Stars as soon as possible if they are running late.

12. Safeguarding

All Bop Stars team members undergo safer recruitment procedures, including enhanced DBS checks and appropriate references.

Bop Stars has a duty to safeguard and promote the welfare of children. Any concerns or disclosures will be managed in line with statutory safeguarding guidance and reported to the appropriate authorities where required.

13. Complaints

We aim to deliver a high-quality service and welcome feedback.

Complaints should be raised directly with Bop Stars so they can be addressed promptly. Records of complaints are retained for at least three years. A summary is available upon request.

14. Equal Opportunities

Bop Stars is an equal opportunities employer and service provider. We operate a zero-tolerance approach to discrimination or harassment of any kind.

15. First Aid, Health & Medication

First aid will be administered in line with permissions provided during registration. Emergency services will be contacted where necessary.

All medical conditions must be disclosed at registration and at sign-in. Prescribed medication must be handed to the session lead and will be administered only in accordance with agreed procedures.

Children who are unwell or infectious must not attend sessions until fully recovered.

16. Insurance

Bop Stars holds appropriate Public Liability, Products Liability and Employer’s Liability insurance. Copies are available on request.

17. Our Liability

Nothing in these Terms limits or excludes liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Breach of statutory rights under the Consumer Rights Act 2015

We are responsible for foreseeable loss or damage resulting from our breach of contract or negligence. We are not responsible for losses that are indirect or not reasonably foreseeable.

18. Changes to These Terms

We may update these Terms from time to time. Revised terms will be published on our website or notified by email and will apply to all future bookings and ongoing use of our services.

19. General Terms

We may transfer our rights and obligations under these Terms to another organisation without affecting your rights.

Each clause operates independently. If any clause is found unenforceable, the remaining clauses will continue in full effect.

These Terms are governed by English law. The courts of England and Wales have jurisdiction, with additional rights for residents of Scotland or Northern Ireland where applicable.
