These Party Terms and Conditions apply to all children’s party bookings and sit alongside our main Terms and Conditions of Service. They are the current version and replace any previously issued party terms.
1. Booking & Confirmation
All party bookings must be made in advance. A booking is confirmed only once we have issued a written Party Confirmation and received the required deposit. Until both have taken place, the date and time remain available to other customers.
The Party Confirmation sets out the package, theme, duration, number of children, add-ons and total price, and together with these Terms forms the contract between us.
Bookings can be made by email at info@bopstars.co.uk or by telephone on 07596 851 374.
2. Payment
A deposit of 50% of the total is payable within 3 days of the date of your proposal. Where the deposit is not received within this period, the date will be released.
The remaining 50% is due no later than 14 days before the party date. For bookings made within 14 days of the party, the full balance is payable at the time of booking.
Payment is by bank transfer to Taylor Academy of Performing Arts Ltd, quoting the booking reference shown on your proposal or confirmation.
3. Changes & Cancellations
Deposits
Deposits are non-refundable. They secure the date and the staff allocated to your party.
Cancellation by the Customer
Cancellations made more than 14 days before the party date incur no further charge beyond the deposit.
Cancellations made within 14 days of the party date remain payable in full, as staff, materials and preparation are committed by that point.
Date Changes
One date change may be offered free of charge where it is requested more than 14 days before the party and where staffing is available. We cannot guarantee availability on an alternative date, as we may already be fully booked. Where a change can be accommodated, the deposit transfers to the new date.
Cancellation by Bop Stars
In the unlikely event that Bop Stars is unable to deliver your party — for example due to staff illness where no cover is available, or circumstances that would make the party unsafe — you will be offered an alternative date or a full refund of all sums paid, including the deposit.
4. Numbers of Children
Prices are based on the number of children stated in your confirmation. Standard party packages include up to 20 children.
Where numbers exceed 20, an additional entertainer is required in order to run the party safely and to the standard we expect. A supplement of £125 applies for 21–25 children, and £250 for 26–30 children.
Baby Bop parties, for children aged 1–3, are limited to a maximum of 15 children. This is a quality and safety limit and is not negotiable.
Where more children attend on the day than were booked, the relevant supplement becomes payable following the party. Please inform us as soon as your numbers change.
5. Travel
Travel is included within a 5-mile radius of our registered office (SW11 3GR). Beyond this, a charge of £25 per mile applies and will be quoted in your proposal prior to booking.
6. The Venue & Set-Up
Customers are responsible for arranging the venue and for ensuring it is suitable and available for the times stated in the Party Confirmation.
We require access to the room 30 minutes before the party start time in order to set up, or 60 minutes for Circus Stars parties and for any party including our food boxes or picnic tables. Set-up and pack-down time forms part of your venue booking and is additional to your party time.
We require clear, safe floor space appropriate to the activity and access to a standard power socket.
Where a party involves aerial or circus equipment, ceiling height and rigging requirements will be confirmed in advance. We will not rig equipment in a space we consider unsuitable.
Where access is delayed and our set-up time is reduced, the party will still finish at the agreed time.
7. Supervision, Safety & Behaviour
Parents and carers remain in attendance for the duration of the party. We do not offer drop-off parties, and children remain the responsibility of their parent or carer throughout.
Our team leads the entertainment. Overall supervision of the children, and any decision to remove a child who is distressed or unwell, rests with the parents and carers present.
We reserve the right to stop an activity, or in rare and serious cases to end a party, where behaviour by children or adults makes it unsafe to continue. No refund is due in these circumstances.
All Bop Stars team members undergo safer recruitment procedures, including enhanced DBS checks. First aid trained staff are provided where required.
8. Food, Allergies & Dietary Requirements
Where luxury food boxes or picnic tables are booked, all allergies and dietary requirements must be notified to us in writing at least 14 days before the party.
Food is prepared in a kitchen that handles common allergens and we are unable to guarantee an allergen-free environment. Final responsibility for what a child consumes rests with their parent or carer.
We operate a strict no-nut policy at all times.
9. Photographs & Social Media
We may take photographs at parties for use on our website and social media. Please inform us before or at the party if you would prefer that no photographs are taken or used, and we will respect this without question.
Where photographs include other families’ children, we ask that consent is obtained before images are shared publicly.
10. Equipment, Property & Belongings
Customers are responsible for the cost of repair or replacement of Bop Stars equipment damaged through misuse at their party.
We take great care in your home or venue. We are not liable for pre-existing wear or for damage arising from the condition of the venue itself.
Bop Stars does not accept responsibility for loss or damage to personal belongings.
11. Insurance & Liability
Bop Stars holds appropriate Public Liability, Products Liability and Employer’s Liability insurance. Copies are available on request.
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for breach of statutory rights under the Consumer Rights Act 2015.
We are responsible for foreseeable loss or damage resulting from our breach of contract or negligence. We are not responsible for losses that are indirect or not reasonably foreseeable.
12. Complaints
We aim to deliver a high-quality service and welcome feedback. Please raise any concerns with us on the day where possible, or within 7 days of the party, so that they can be addressed promptly.
13. Changes to These Terms
We may update these Terms from time to time. Revised terms will be published on our website and will apply to all future bookings.
14. General
Each clause operates independently. If any clause is found to be unenforceable, the remaining clauses continue in full effect.
These Terms are governed by English law. The courts of England and Wales have jurisdiction, with additional rights for residents of Scotland or Northern Ireland where applicable.
If you have any questions, please contact us at info@bopstars.co.uk or on 07596 851 374.
We are delighted that you have chosen Bop Stars and look forward to celebrating with you.
